ITS enhances student and staff skills through archival internships


ITS Vice Rector III for Human Resources, Organization and Technology & Information Systems Imam Baihaqi ST MSc PhD emphasized the importance of archive management as historical documentation. Along with technological developments, there is a lot of data that is still unstructured so it needs further management. “The current challenge is how to categorize data to obtain fast and precise data,” said Imam. 


To answer these challenges, the ITS Business Management Department lecturer explained that this certified internship aims to provide further insight into archiving. In addition, most of the ITS community does not have a scientific background related to archival education. The certification obtained by participants can reflect the expertise and competence of ITS students and teaching staff (tendik) in archival governance.

In line with Imam's statement, ITS SIKN Certification Internship Committee Chair Suyadi SST revealed that this program focuses on providing practical experience for interns. Initially, the interns received basic archival briefings via online by the East Java Forum of Archive Aware Communities (FKMSA) in January. 

In this series of activities, she added, participants will implement the knowledge gained by directly practicing the archive management process in SIKN. Interns will be given a target to process and classify as many as one hundred ITS files and upload them to ANRI's SIKN National Network Node.

The Information Systems Developer at the ITS Digital Archive Service Unit also explained the archival information system at ITS which uses the Sharepoint Document Management System (DMS) integrated into the myITS Portal. Some of the data can be accessed publicly and there are also files that have limited access by asking for approval from related parties. “ITS has successfully archived more than 42 thousand data and will continue to grow,” he added.

This internship activity also presents Airlangga University students who have participated in internships in the archives field. With the holding of the SIKN internship, the participants consisting of 7 ITS tendiks, 14 ITS students, and 12 UNAIR students also emphasized the role of ITS in supporting the Sustainable Development Goals (SDGs). Especially on point 16, namely Peace, Justice and Resilient Institutions.

Finally, Yadi hopes that the interns can gain knowledge related to archive management according to archival principles. In addition, it is hoped that archivists in each ITS unit can carry out independent archive management using digital technology and integrated with the ITS archive network. “If the resources are good, then the challenges of digital archives can be passed,” he concluded optimistically.
